STAFF POLICIES NOV 1ST 2024

Requirements

Coaches and/or admin are required to arrive 20 minutes prior to every session to set up your area and equipment. A prior session plan is submitted to Paul!

Communication

The coordinator, Tara, often communicates with each coach via text. Please download the Homebase app on your mobile device with the notifications turned on!

This is especially important when confirming the weekly schedule.

  • Message Paul Provan via Homebase for anything directly related to on field coaching and the planning of your sessions.

  • Message Tara Zinna via Text/Homebase for anything related to shifts and scheduling.

  • Message Tara Zinna via Text/Homebase for anything related to class registrations / Kids not listed or need to be added.

    Shifts / Scheduling

Schedules for coaches will be published on Homebase. (weeks run Monday to Sunday).

For programs we aim to have the same coaches leading all classes in a 10-week program. This provides consistency for both the children and the parents and reassures parents of their child’s safety and quality of coaching as the weeks go by. We understand that there may be occasional weeks that you have other commitments, we require 48 hours notice if you cannot attend your regular sessions!

Coaches are allocated to sessions based on : your past performance ( Preparation, Energy and Leadership ).

  • All shift offers MUST be responded to within 24 hours with Tara

Coaching - Programs

We pride ourselves in the reputation that Proventus has in being ‘good role models’ for kids. As coaches/role-models we are the face of Proventus and are ALWAYS being watched by parents. Attitude, demeanor and language are ALL very important things whilst we are around children.

Coaching - Set Up & Departure

'If you’re early your on-time, if you’re on-time you’re late'

Coaches ARE REQUIRED to arrive to a class 20 minutes prior to the class start time. Ex: Arrive at 1.40pm for a class start time of 2pm. On arrival it is then your responsibility to set up the area and your class equipment. Arriving early is an essential role of a coach, it allows for the following: lots of traffic, wrong turns, finding the field location, exercises set-up, and generally getting into 'a state of readiness' for the age group of children you will coach!

We should always be the first to arrive, and the last to leave. Never leave a child at the field at the end of a program, contact the parent listed on the contact form or a Proventus staff member! Coaches are responsible for the setup and clear away of their equipment area.

Coaching - Staff Uniform/Equipment

You should wear your Proventus staff t-shirt to every session . Staff uniforms will periodically be recalled for inventory and cleaning.

Coaching - Mobile Devices

Phones should NOT be in use during a session! At a session, you may check your phone for URGENT messages at a drink break. Please keep your phone by your bag or at the front desk to avoid distractions.

Payments

In order to be paid accurately for your session/s and track your punctuality performance, you MUST 'Clock In/Out' via the Homebase app for each session you complete - (within the app you will see the top right hand corner icon for use on your arrival/departure at the field).

Via Homebase, please make sure you enter and connect your bank and personal information to receive auto-payrolls.

* As of Nov 1st 2024 the following payment structures will take effect:

  • A new coach (Upto 3 months) has an initial trial period to develop in our *Coaching performance categories. payment during this time will be for the ‘exact hourly session time only’ (No before or after time.)

  • Following a successful trial period, and continued good coaching performance, from 3 months coaches will receive a 15 minutes preparation time for equipment set up, in addition to session time.

  • From 6 months coaches will receive seasonal reviews with potential pay level increases and/or bonuses, following good performance in our *coaching categories

** ‘FUN Club/Schools out clinics’ (9-1pm days) coaches receive a flat day rate. Summer camps receive flat weekly rates. These are not listed at your regular hourly level/rates. These will be discussed in private!

Coach's pay levels/hourly rates are always discussed in private.

*** If you do not currently have a bank account, please share an alternative payment method (Vemno, Zelle) prior to your pay cycle.

Payroll runs bi-weekly (every 2 weeks on a Friday). Sessions you complete over a two week period will be paid on the 3rd/following week.

Ex: Sessions you completed from Jan 1-15th will be processed on the following Wednesday 19th Jan and enter your bank account on Friday 21st.

Pay levels / Bonuses

If you develop in our *coaching categories, you will increase your pay level and rate with potential bonuses (Its as simple as that!)

Moreover: we do have a 3 STRIKE RULE - consistent poor coaching performances will remove you from our Homebase center!

*If a coach requests to leave/terminate their position, we do require you work a 7 days notice period given from the date you first notify us - this allows us to find coverage for your session.

Staff Training

Beginning in the winter of ‘24/25 we will be using sessions as a chance to get staff training with Paul. Session feedback is a powerful tool to develop in the *Coaching categories. We will also be introducing some online training guidance to receive licenses etc.
